⚠️ Important Formatting Reminder (Please Read)
We are seeing a few email signatures that have been implemented incorrectly due to formatting issues. Your email signature should look like the one I have below.
If you notice that your fonts, sizes, spacing, or colors do not match, then your signature was probably not applied correctly.
The most common issue we are seeing is that some folks are copying and pasting directly from the Google Drive preview window instead of downloading the file to their computer and following the instructions.

As part of our updated brand standards with MMA, all employees are required to use the new Atlas email signatures.

What if something in my email signature is incorrect?
If your name, phone number, fax number, insurance license number, or other details are incorrect or missing, please notify me and I will update your file for you.
Which email address should I use moving forward?
You may continue using your existing ‘@atlasinsurance.com’ or ‘@insurancefactors.com’ email address.
Your ‘@marshmma.com’ email address has been linked to your existing inbox, and emails sent there will automatically route to you. The MarshMMA address is included in signatures at MMA’s request.
Can I include professional designations or pronouns?
Yes. Both are allowed but must be requested. Marketing will update your file.
Why is my job level not included in my title?
Job level has been intentionally omitted per direction from upper management to maintain consistency with updated brand standards.
Didn’t we just update signatures in December?
Yes. However, these updates are required to align with new MMA brand standards.
How to Update Your Email Signature in Microsoft Outlook
Step 1: Download Your Email Signature File
- Open the Google Drive link.
- Locate your file named First Last.odt.
- Right-click → Download.
- The file will download to your Downloads folder.
Step 2: Open the File in Microsoft Word
- Right-click the downloaded .odt file.
- Select Open with → Microsoft Word.
Step 3: Copy the Signature
- Click inside the document.
- Press Ctrl + A to select all content.
- Press Ctrl + C to copy.
Step 4: Open Outlook Signature Settings
- Open Microsoft Outlook.
- Click File → Options → Mail → Signatures…
Step 5: Paste the Signature
- Select your existing signature (or create a new one).
- Click inside the signature box.
- Right-click → Paste → Keep Source Formatting (K)
⚠️ Do not use Ctrl + V, as this will alter formatting.
Step 6: Set as Default
- Set your new signature for New messages and Replies/forwards
- Click OK to save
